Our client is a building materials and lumber retail group with multiple locations across Florida, Texas, North Carolina, and Georgia. Each location combines retail sales and warehouse operations, serving both contractors and wholesale buyers. It is a multi-entity enterprise with operational complexity.

Business Challenges

For almost ten years, our client used four separate systems for POS, e-commerce, warehouse management, and accounting. This setup led to three main problems. 

  1. Management lacked reliable reporting. Consolidating data across systems required two full-time employees who manually extracted figures, reconciled discrepancies, and rebuilt reports from scratch each cycle. Decisions that should have been data-driven were running on stale numbers. 
  2. Pricing decisions couldn’t keep up with market conditions. Lumber prices shift fast because of tariffs, freight volatility, and supply disruptions. Without visibility into landed costs and available inventory, the team was creating prices based on outdated data. 
  3. Multi-branch operations hit the ceiling. Cross-branch fulfillment, stock balancing, and replenishment management across multiple legal entities depended on manual coordination. Without automated restocking rules or centralized inventory logic, scaling meant adding headcount. 

Our client wanted to see if Odoo could handle a business of their size and complexity. As a certified Odoo partner, we created a live demo using their real workflows. Odoo stood out because it could manage sales, POS, warehousing, purchasing, and accounting all in one place. Just as important, Odoo could be set up to match how our client already works, instead of making them change their processes.

Our Cooperation

We brought all of our client’s main processes together in one Odoo system, covering sales, warehousing, purchasing, fulfillment, accounting, and customer service.

We rolled out the implementation in phases. First, we migrated the data structure and historical records for 30,000 SKUs, clients, vendors, and suppliers. Next, we set up Odoo’s main features, automated key processes, and added integrations. The system runs on Odoo’s servers.

Odoo’s Operational Impact

Sales & purchasing

Replenishment now runs on historical purchasing data instead of manual estimates. Pricing updates from live cost and margin data, giving management tighter control across all locations.

Delivery & fulfillment

Our clien t uses both outside carriers and transfers between branches, all managed in Odoo. Products can be sold at one store and shipped from another, with receiving and restocking tracked in real time across all locations.

Multi-state tax compliance

Tax rules and fiscal positions are applied automatically based on where the order is delivered. This lets our client operate in Florida, Texas, North Carolina, and Georgia with the right tax treatment.

Customer engagement

We created a branded client portal where customers and partners can place orders, check their purchases, and see their account details all in one place.

Accounting

We built a US-focused accounting system that handles invoicing, reconciliations, receivables, and payables. All locations use one shared bank account, but each entity keeps its own books and balances. Budgeting, revenue, and investment results are handled separately for better management performance tracking.

AI automation

We set up AI agents, integrated into Odoo, to handle routine tasks like delivery processing, matching purchases, checking for discrepancies, and preparing reviews. For instance, one task that took 3 hours of manual work can now be completed in minutes with several document uploads.

Results

Our client switched from four separate systems to one platform. Now, management can see real-time data for all locations, make faster pricing decisions, access inventory across the network, buy based on demand, and open new branches more easily. Odoo has already handled millions of transactions for them. 

Currently, we’re supporting the client’s Odoo system, managing user requests, and training employees.
