The Client: International School

Our client is a large international school in the UAE with thousands of students and extensive on-campus operations. Odoo is their core ERP platform, supporting back-office and admin processes: enrollment, payments, HR, events, parent communication, and reporting. Hundreds of employees use a customized setup that combines standard Odoo modules with features built specifically around school operations.

Business Challenge: Outdated Odoo Version

The client came to us with an outdated Odoo system and needed a migration from version 13 to version 17.

For a standard Odoo setup, a version upgrade already means moving business data, modules, integrations, and existing workflows. In this case, the migration also had to preserve a large amount of custom functionality.

The reason for this level of customization was simple: a school does not operate like a typical organization. Many of its core processes are not available in Odoo out of the box. For example:

Tuition billing is different from regular sales invoicing
Admissions rely on managing applicants, enrolled students, contracts, status changes, parent information, and related documents
Parents need access to relevant documents, invoices, and portal information connected to their children, without exposing the school’s internal ERP data
HR extends into school-specific employee operations, like staff accommodation and equipment inventory

Our Cooperation

We migrated the client’s Odoo system from version 13 to 17, preserving years of operational data and custom functionality.

Rather than rebuilding the ERP from scratch, we preserved the processes that still mattered to the organization, adapted them to Odoo 17, and removed technical elements that were no longer required.

Once the system was migrated, our QA team tested complete workflows across admissions, finance, HR, payroll, events, parent services, and other connected areas before go-live. Following the migration and go-live, the updated database performed significantly faster than the previous environment.

The school went live on Odoo 17 with its core workflows, integrations, and custom functionality intact.

Student Administration

Student records, parent information, contracts, enrollment statuses, and related documents stay connected in one workflow. This gives administrative teams a consistent view of each student.

Tuition Invoicing

Tuition billing reflects how the school actually works rather than forcing payments into a standard sales process. Custom functionality connects each student with the parent or guardian responsible for payment.

Accounting & Budgeting

Financial teams manage invoicing, reporting, budgeting, analytical accounting, multi-currency operations, and banking within the same Odoo environment. During the migration, we preserved the school’s existing budgeting logic and bank integrations.

HR, Payroll & Staff Housing

Employee administration goes beyond standard HR and payroll. Odoo also connects staff records with assigned accommodation, equipment, and related maintenance, giving the school one place to manage both employment and supporting operational processes.

Events & Trips

School events and trips can be managed together with their related costs and financial calculations. By extending Odoo Events, we connected event planning with the school’s accounting processes instead of leaving these activities in separate workflows.

Alumni Management

Graduating students can move into a dedicated alumni group without losing their existing records. This allows the school to maintain long-term alumni data and use it for future communication, events, and community activities.

Results

The migration moved a heavily customized ERP used by 500+ people onto Odoo 17 without forcing the school to redesign the processes built around it. Existing data, integrations, and school-specific workflows were preserved, while obsolete elements were removed.
