Our client is a US-based home textiles manufacturer and wholesaler specializing in bedding, pillows, throws, blankets, and other accessories. The company sources and manufactures products in China and distributes them to large US retail chains, including Walmart, Target, HomeGoods, and others. It operates through several legal entities across the US and Hong Kong.

  • 70+ large B2B orders per month
  • 300 system users across operations and production
  • Transcontinental container shipping and logistics management

Business Challenges

The company was already running on an outdated Odoo version, highly customized by a previous partner. It functioned, but the lack of updates affected performance. Key parts of the business still ran outside the system, so different teams relied on spreadsheets and diverse tools for reporting and data management:

  1. Inventory visibility was unreliable: stock appeared available in the system even when already allocated to another order, leading to overselling and fulfillment conflicts.
  2. With dozens of containers arriving from China each month, the team had no centralized view of what was in transit, at which logistics stage, or when each shipment would reach the warehouse. Planning relied on manual follow-ups with carriers.
  3. The company managed over 10 TB of product & shipping data: individual SKUs, certificates, tariff codes, customs paperwork, and compliance records. Locating the correct document for a specific container or product batch required manual searching across multiple systems.
  4. Purchasing decisions were driven by estimates rather than real demand and stock data.

The system lacked a proper multi-company structure and a full accounting setup. Many workflows depended on employee knowledge and could only be managed by the specific process owners.

The previous implementation proved that Odoo could support our client’s scale. However, the setup did not connect the entire business into a single operating system. That was a task for us, as a certified Odoo partner.

Our Cooperation

We began with a full discovery and business analysis phase, tracking processes across every department and defining requirements and dependencies. We proposed a clean setup, because the existing system had accumulated years of workarounds.

A clean setup enabled us to normalize the product database (10 TB of data), design multi-company accounting, implement EDI, and enable supply chain visibility. We implemented solutions for sales, purchasing, logistics, container management, compliance, and finance.

Odoo’s Operational Impact

Sales & Purchasing

Sales and purchasing now run as one connected process. When a sales order is created, it automatically triggers the purchasing flow through the company’s trading entities. Intercompany transactions are handled within the same system. When US import tariffs on China-manufactured goods change, landed costs and margins update automatically across the catalog.

Dispatch Management

The company ships more than 10 containers every month. Each one is tracked in Odoo from loading to final delivery, including details like contents, capacity, destination, and transit status. The company can track container utilization rate, allocation status of inbound stock, live geolocation of each container, estimated time of arrival (ETA),  and replenishment alerts for SKUs that need to be reordered. 

Compliance & Certification

Odoo stores certifications and permits for each relevant SKU. The correct certificate is automatically linked to the shipment and production batch. The Odoo catalog also has information on tariff codes, barcode descriptions, and product classifications, so the correct documentation is ready for customs clearance.

Accounting

We set up full accounting for invoicing, reconciliation, receivables, payables, and management reporting. The US and Hong Kong entities now use a true multi-company structure, with intercompany transactions handled correctly. Freight, duties, and tariffs are automatically added to the landed cost at the shipment level.

Results

Our client moved from a largely manual system to an Odoo setup that connects sales, purchasing, logistics, and finance:

  1. Purchasing teams know what is in transit, so they don’t make duplicate orders.
  2. Sales can confirm delivery dates based on the actual container arrival.
  3. When a shipment is late, the team knows which supply chain stage is responsible for the delay and can reassign stock from another location.
  4. If goods arrive short, the system shows whether the discrepancy happened at the warehouse, in transit, at customs, or on final delivery.
  5. Over time, the data shows which logistics partners deliver on time and which routes add cost.

With critical operations in one Odoo system, the business can handle more orders without needing more staff.

Currently, we’re training the client’s employees on the most efficient use of Odoo and supporting the system, based on SLAs.
